Office Assistant

You will be in charge of answering any customer inquiries, scheduling appointments, maintaining a customer database of information, and perform additional administrative duties. This is a very important position in any office as the administrative solution is often the backbone to many operations.  The person for this position should be extremely well organized and detail oriented. If you are independent, intelligent, detail-oriented and have a great attitude, we’d like to talk to you.


  • Greets and directs visitors to the office
  • Answers phone calls, faxes, and emails; redirects to appropriate parties as needed
  • Sets up sales appointments and maintains calendar accurately
  • Maintains database by entering new and updated customer and account information
  • Processes all Work, Repair, Punch List items, to close out
  • Manages all lead source accounts, follow up on Charges/Credits
  • Creates and distributes office memos and letters, files paperwork
  • Manages, procures, and maintains office supplies
  • Provides assistance and support to staff and visitors
  • Solves customer concerns ranging from simple to complex
  • Sets up & manages new job folders with signed contracts; creates purchase orders; receives payments as needed
  • Assists with light bookkeeping, Account Payable/Receivables
  • Contributes to team and projects as needed


  • Excellent communication skills and ability to focus and prioritize
  • Strong verbal communication required to coordinate with customers as well as the outside sales team and sales management via telephone
  • Excellent listening & communication skills are required to promptly respond to customer inquiries
  • Experience working with Quickbooks, CRM Software & Microsoft Office
  • Must be able to work collaboratively with all colleagues
  • Must be a strong multi-tasker and be able to prioritize duties
  • Great organizational skills and ability to implement them in the office
  • Strong attention to detail; strong follow up and follow through
